What You'll Do:
Invoice Auditing:
Perform detailed audits of Parcel carrier invoices (UPS, FedEx, USPS, etc.) by systematically comparing imported electronic or manual invoice data against contracted rates, service level agreements (SLAs), and expected charges generated from internal systems (TMS, WMS, or manifest data).
Verify accuracy of base freight charges, fuel surcharges, accessorial fees (e.g., residential delivery, dimensional weight adjustments, peak surcharges), duties/taxes, and other applied charges.
Ensure correct application of discounts, tariffs, and negotiated pricing agreements.
Variance Analysis:
Identify, investigate, and thoroughly document any variances between carrier billed amounts and expected costs.
Analyze root causes for discrepancies, differentiating between rate errors, service failures, incorrect accessorial applications, data entry issues, or changes in shipment characteristics.
Quantify the financial impact of identified variances.
Dispute Resolution & Recovery:
Prepare and submit formal disputes or claims to carriers for overcharges, billing errors, or service failures in accordance with carrier guidelines and timelines.
Track dispute status diligently, following up with carriers as needed to ensure timely resolution and credit issuance.
Verify receipt and correct application of carrier credits on subsequent invoices.
Reporting & Insights:
Develop, maintain, and distribute regular reports summarizing audit findings, variance trends, dispute resolution status, and cost recovery amounts.
Analyze carrier billing accuracy performance and identify trends or recurring issues by carrier, service level, or charge type.
Provide data-driven insights to support logistics operations, finance reporting, and carrier negotiations.
Process Improvement:
Collaborate with Parcel, IT, and Operations teams to improve the accuracy of internal data used for generating expected charges.
Identify opportunities to enhance and automate the invoice audit and reconciliation process.
Contribute to maintaining the integrity of rate tables and logic within relevant systems.
Record Keeping:
Maintain organized and accurate records of audits performed, identified variances, submitted disputes, carrier communications, and resolutions achieved.
What You'll Bring:
Associate's or Bachelor's degree in Logistics, Supply Chain Management, Finance, Accounting, Business Administration, or a related field; OR equivalent relevant work experience.
[1-3]+ years of experience in transportation logistics, accounts payable, freight audit, or financial analysis, with direct experience in auditing carrier invoices and analyzing freight costs.
Strong analytical and problem-solving skills with exceptional attention to detail and accuracy.
Proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, data manipulation) is essential.
Understanding of common transportation modes and their associated pricing structures, including tariffs, contracts, fuel surcharges, and accessorial fees.
Excellent organizational skills with the ability to manage multiple tasks and deadlines effectively.
Strong written and verbal communication skills for interacting with internal teams and external carriers.
Ability to work independently and as part of a team.
Bonus Points:
Experience working directly with major carrier billing systems and portals (e.g., FedEx Billing Online, UPS Billing Center, etc.).
Experience using Transportation Management Systems (TMS), Warehouse Management Systems (WMS), or Enterprise Resource Planning (ERP) systems.
Experience in negotiating or resolving billing disputes directly with carrier representatives.
Knowledge of parcel and/or freight audit software platforms.
